Internal Audits

Following works are included in Internal Audit of Co-op Housing Society Ltd.

  1. Checking of all collection receipts with reconciliation entries if any and dues position as on 31st March
  2. Checking of Cash and Cheque Payment vouchers with payment bills or receipts attached. Check Payment Vouchers are signed by at least 2 office bearers of Society.
  3. Checking of all FDRs with their due dates and respective entries in Investment Register
  4. Check I Register, J Register, Nomination Register, Sinking Fund Register, Property Register and Share Register as per members database.
  5. Check General Ledger with Trial Balance or rough Balance sheet and rough Income and Exp Acc
  6. Check Personal Ledger with Defaulters List
  7. Check Bank Statements and verify reconciliation statement.
  8. Any other specific work.

Society Accounts

Our Accountant’s role and responsibilities

  1. Raising Monthly Bills and receipts in Society’s software.
  2. Enter members collection data, expenditure data in Society’s software.
  3. Finalisation of Society’s accounts, Preparation of Balance sheet, Income & Expenditure A/C, Receipt and Payment A/C and necessary schedules.
  4. Discuss final account statements with Society’s managing committee, make necessary changes as per instructions by committee and get it approved.
  5. Provide final account statements to Society Auditor for doing Audit.
  6. Solve queries raised by Auditor.
  7. Solve queries raised by Society’s Treasurer and managing committee.

Society Manager

Our Society Manager’s role and his responsibilities

  1. Our Society manager is a well-trained person. He is aware of main Society rules, bye-laws and Act. He is also trained how to talk with members, how to deal with vendors, how to write minutes of meeting and get the work done efficiently.
  2. Society manager will visit 6 days in a week in Society. His working hours will be from 10 to 6.
  3. He will check attendance of all security persons and house keeping persons attendance daily.
  4. He will roam in whole society 2-3 times daily and verify :- 1. Security is alert, Housekeeping people are doing their job properly, 3. Common areas like pools, gym, lifts, DG and other such facilities are spotless and well-maintained.
  5. He will attend all phone calls received from residence / vendors. He will try to resolve maximum queries received from society members like water shortage, shifting procedure, leakage on his own as per guidelines given to him by Society’s committee. He will forward only selected queries to committee members which are beyond his capacity.
  6. He will write proper minutes of meeting from the points given to him by committee members, get it approved from our legal team and then give those minutes to secretary / chairman for approval.
  7. He will visit Society’s Bank to deposit cheques and other bank’s work like renewal of FD, Cheque book application, KYC etc.
  8. He will visit various Govt offices like 1. Deputy Registrar office for submitting necessary documents,    Visit Municipal Corporation for payment of taxes, 3. Electricity Board for payment of Electricity charges, 4. Palava main office if required during his working hours.
  9. He will reply member’s emails as per instruction given to him by managing committee and forward only important emails to Secretary or Chairman for further action.
  10. He will help managing committee in organising various events in Society such as festival celebrations, national holiday celebrations etc.
